How often have you found yourself in a quandary about a decision that you have to make and/or also about prioritising tasks?
If you are struggling with these things then help is not that far away... and it takes the form of something called the Eisenhower Matrix!
Tasks which are time sensitive are classed as urgent tasks
Tasks that help you accomplish goals are classed as important tasks.
It is a fact that we often need to remind ourselves about things and ask ourselves if what we are doing is in support of our long-term plans and mission.
With an Eisenhower matrix you are able to plot urgency and importance in a simple grid pattern.
This pattern goes as follows:-
1 important and urgent
2 important but not urgent
3 not important but urgent
4 not important I’m not urgent
So to look a little closer - we set out four boxes as follows:-
Box 1 - Here we focus on the items that are both important and urgent start by using the task that is most important and doing that task first. Make certain that all your urgent and important tasks are in this box!
Box 2 - Here we schedule tasks that are important but are not necessarily time sensitive. Once they have been identified these items should be placed on your calendar.
Box 3 - In this box we can place items that are urgent but are not important. These are the sort of items that are time-sensitive and have to be done but do you have to do them? Is it possible that you could delegate these jobs to somebody else for example a secretary.
Box 4 - The items that go into this box should be avoided. Because they are neither urgent or important if follows that they are unlikely to be worth you spending lots of time on them. Items in this box can include watching TV or spending time on social media.
At work these could possibly be requests from colleagues for something that they could easily do themselves. Try to avoid these tasks but if you can’t avoid them set a timer to make sure that you don’t spend an inordinate amount of time on these things.
So there we have the Eisenhower Matrix. I know from personal experience that when I began using it I accomplished a lot more meaningful work.
